Case administrators can use the File Repositories feature to manage the file repositories connected to their case, and perform the following tasks:
●View files currently in the case, and calculate the size of all files in any subfolder.
●Copy files and folders.
●Delete files and folders.
●Rename folders.
Use the following procedure to access the File Repositories page.
●On the Case Home page, under Manage Documents, click File Repositories.
Note: There is no item count for the File Repositories on the Case Home page.
The following information appears on the File Repositories page:
●A message at the top of the page alerts you that manipulating folders and files from this page does not affect records in the Ringtail database.
●The Repository list contains all of the file transfer, index, and image file repositories configured for the case, starting with the file transfer repositories in alphabetical order.
●The Folder list contains the root folders for the file repository selected in the Repository list, in alphabetical order.
●Depending on the Repository and Folder combination you select, a warning message can appear to the right of the lists. The intent of the message is to advise you of any adverse effects that can occur when you manipulate files in the folder. For example, selecting items from the Ingest folder and moving them can affect ingestion jobs that are currently in progress.
●The path name of the selected subfolder appears at the top of the table. The path name updates when you select a folder in the table below. As you drill into folders, Ringtail creates breadcrumbs that you can click to get back to any folder in the path.
●The table on the File Repositories page displays all folders and files in the selected subfolder, and contains the following information:

Administrators can select folders or files within folders, and then use the Copy feature to copy the files and folders to a different destination. Ringtail maintains system properties for folders and files (specifically, date and time properties, and file attributes) when the files are copied, which preserves the metadata in case the files are later ingested.
Use the following procedure to copy folders and files.
1.On the Case Home page, under Manage Documents, click File Repositories.
2.To locate the folder or file to copy, select the Repository and Folder from the lists on the page.
Tip: To filter the folder contents, you can type in the filter text box or filter in the Name column.
The selected destination displays in the breadcrumbs above the folder list.
3.Select the Name of the folders or files to copy, and then click Copy.
4.In the Copy dialog box, to locate the destination folder, select the Repository and Folder from the lists on the page. You can also filter the folder contents in the Name column.
Note: If you do not see the destination folder you need, you can add a folder on the fly by clicking the Add folder button on the breadcrumb bar. The new folder name must be unique in the current folder.
5.Select Replace, Rename, or Skip to specify what Ringtail should do if another file at the destination has the same name. If you select Rename, if the name of a file already exists at the destination, Ringtail adds a numerical suffix to the name (for example, filename(2)) and does not overwrite any existing data.
6.Click Save.
A separate browser window opens to show the progress of the copy operation.
Administrators can select folders or files within folders and use the Delete button to delete the files and folders from the file repository. The delete action is permanent.
Use the following procedure to delete folders and files.
1.On the Case Home page, under Manage Documents, click File Repositories.
2.To locate folders and files, select the Repository and Folder from the lists on the page.
3.Click the Name of a folder or file to select it for deletion. Multiple folders and files can be deleted.
4.Click Delete, and then click OK.
Note: Although database records are intact, a message reminds you that you will permanently delete the selected folders and files.
5.Click Save.
A separate browser window opens to show the progress of the copy operation.
Administrators can rename a folder or file from the File Repositories page.
Use the following procedure to rename a folder or file.
1.On the Case Home page, under Manage Documents, click File Repositories.
2.To locate a folder or file, select the Repository and Folder from the lists on the page.
3.Click Rename, and then type the new name in the Rename dialog box. The new folder or file name must be unique in the current folder.
4.Click Save.
