Use the following procedure to assist in preparing a document population for production.
1.Code the documents to a binder or issue, as well as to an unlocked production. For more information, see Code documents.
2.Perform the following pre-production checks to ensure that Ringtail produces your documents as expected:
a.After you have updated the production rules, you can use the Missing endorsable image files quality control check to verify that all of the documents that should be produced as images are imaged. For more information, see Perform quality control checks.
Tip: You can also perform this check manually on the Search page. For documents to be produced as endorsed images, select the Page File Name field, the is like operator, and enter “tif,” “tiff,” “jpg,” “jpeg,” “bmp,” or “png” (or “pdf” if the PDF annotations setting is enabled for the case) as the value.
b.After you have updated the production rules, you can use the Missing text (.txt) files quality control check to verify that all documents have text files. For more information, see Perform quality control checks.
Tip: You can also run this check on the Search page using the Native File Extension field, to identify documents with or without an associated .txt file.
□Make sure that the index is up to date. Only text files that are included in the index are recognized for productions. Remember to add any new text documents to an Indexing and enrichment job, if you added them after a document was loaded. You can add an Indexing and enrichment job on the Documents page on the Tools menu. For more information, see Index and analyze documents.
c.Determine which redactions or highlights to apply to the population.
d.Verify that documents to be produced natively do not contain redactions or highlights that will be applied to the production. After you have updated the production rules, you can use the To be produced natively but have annotations applied quality control check to verify. For more information, see Perform quality control checks.
e.Ensure that the primary field used for sorting has a value populated for every document in the production.
f.After you have updated the production rules, you can use the Missing value in field chosen for native extension information quality control check to verify that the field that identifies the native file extension contains a value for all documents to be produced natively. For more information, see Perform quality control checks.
