The imaging feature allows users to create image files of documents. The imaging feature replaces the earlier TIFF-on-the-Fly feature.
Administrators can enable the imaging feature for user groups, define the default imaging settings, and view properties of imaging jobs.
To enable the imaging feature, administrators must grant users access to the following imaging options:
●Processing - Imaging - Automated
●Processing - Imaging - Reversal
For information about how to enable imaging features, and a description of the places where imaging features appear, see Work with security for features.
Administrators can make imaging system fields available to users. The fields appear as search criteria that the user can select on the Search page and as columns to display in the List pane. The following system fields are available:
●Imaging Document Info
●Imaging Format
●Imaging ID
●Imaging Reversal ID
●Imaging Status
●Imaging Warnings

You can define settings for the different types of documents that users can convert to images.
Use the following procedure to define the default imaging settings.
1.On the Case Home page, under Manage Documents, click Imaging.
2.Click Settings.
3.On the Common page, configure the following settings:
oIn the General section:
□Default image format: The image format that is selected by default when users submit an imaging job. Options include TIFF, JPEG, and PDF. Users can select a different image format when they submit an imaging job.
♦Auto-detect color and render to JPG: This option only applies if TIFF format is selected when submitting an imaging job. Ringtail converts black and white documents to TIFFs and converts color documents to JPEG.
□Image resolution (DPI): The resolution of the output images, in dots per inch (DPI). The default value is 300 DPI.
□JPEG quality: The quality of JPEG images. To reduce the file size of JPEG images by reducing the quality of the images, you can decrease this percentage.
□Paper size: The paper size of the output images.
□Page orientation: The page orientation of the output images. If you select Portrait or Landscape, Ringtail rotates images 90 degrees clockwise when necessary to match the selected orientation.
oIn the Non-imageable documents section:
□Create slipsheet: Ringtail creates placeholder pages for files with extensions that are listed in the Extensions setting, without attempting to process the files.
□Slipsheet image text: The text that you want to display on the slipsheets for the Non-imageable documents.
□Extensions: If you select the Create slipsheet check box, specify the file extensions for files that you want Ringtail to convert to slipsheets instead of images.
□Attempt to image other files that are unsupported: If selected, Ringtail attempts to create images from the text files of documents with file extensions that are not supported by the imaging feature and are not included on the Extensions list.
4.On the Email and Websites page, configure the following settings for email and website files:
oResize tables to fit page: Ringtail resizes tables that are wider than the page to fit within the page margins.
oDownload images from the Internet: Ringtail downloads Internet-based pictures that appear in the original document so that they are included in the output images. This option requires the RPF supervisor to have Internet access.
5.On the PDF page, configure the following settings for PDF files:
oShow annotations: Displays annotations that appear on PDF documents.
6.On the Excel page, configure the following settings for Microsoft Excel files:
oIn the General section:
□Print scale: The percentage to scale the original document page size to better fit in the output images.
□Page orientation: The page orientation.
Note: The Page orientation setting on the Common page overrides this setting.
□Page order: The order in which worksheet pages are imaged when the data does not fit on one image page.
□Print row and column headings: Specify whether you want to include column headings in the output images.
□Max number of pages to print: If imaging a document would result in multiple imaged pages, specify the maximum number of pages that you want Ringtail to convert to images. Leave this number at 0 to image all pages.
□Comments: Specify where to display comments on imaged documents.
□Redact auto-populated information: Specify how you want automatically populated fields, such as the current date, to appear in the output images.
□Show: Select the check boxes to display gridlines, borders, and headers and footers.
oIn the Margins section, to set custom margins for output images, type a value in the boxes. To leave the margins as they appear in the original documents, select Original.
oIn the Preprocessing section:
□Select the Preprocess documents check box if you want to apply any preprocessing options. Then select any of the following options:
♦Show: Select the check boxes to display hidden rows, hidden columns, hidden worksheets, very hidden worksheets, and text that is the same color as the background.
♦Auto-fit: Select the check boxes to auto-fit rows and columns.
♦Clear: Select the check boxes to ignore Excel's settings for print area, print titles (repeated rows or columns), and formatting on empty cells.
♦Other settings: Select all that apply: Unfreeze panes, Turn off auto filters, and Remove page breaks.
7.On the PowerPoint page, configure the following settings for Microsoft PowerPoint files:
oSpeaker notes: Specify how you want speaker notes to be imaged.
oPrint comments: If selected, Ringtail images comments that are embedded in slides on the next page.
oPrint hidden slides: If selected, Ringtail images slides that are hidden from presentation view.
oRedact auto-populated information: If selected, Ringtail redacts automatically populated fields, such as the current date.
8.On the Word page, configure the following settings for Microsoft Word files:
oUnhide hidden text: Ringtail displays text in the output images that was hidden from view in the original files.
oResize tables: Ringtail resizes large tables to fit on the imaged page.
oRedact auto-populated information: Specify how you want automatically populated fields, such as the current date, to appear in the output images.
oTrack changes: Specify how you want track changes to appear in the output images.
oComments: Specify how you want comments in the document to appear in the output images.
Administrators can view the properties and progress of imaging and reversal jobs on the Imaging jobs and Reversal jobs pages.
Use the follow procedure to view information about imaging and reversal jobs.
1.On the Case Home page, under Manage Documents, click Imaging - Automated.
2.Select the Imaging jobs or Reversal jobs tab to view a list of jobs.
3.On the resulting page, select a number in the Job ID column to view the job Properties page. In the navigation pane, click Errors to view the Errors page.
You can review and search for imaged documents using the imaging system fields that are available in Ringtail.
The following table describes the imaging system fields.

The job ID of the reversal job that was submitted for the document. |
Imaging Status |
The current imaging status for the document. |
Imaging Warnings |
If the Imaging Status field for a document is Completed with Warnings, the Imaging Warnings field contains additional information. The following values can appear in this field: ●Could Not Be Preprocessed: Preprocessing steps, such as unhiding hidden content, could not be performed prior to imaging. ●Printed Page Limit: The number of pages that could be generated for this document was limited based on the imaging settings. ●Slipsheet - 0 File Size: Because the file has a file size of 0 KB, a slipsheet was generated in place of an image. ●Slipsheet - Encrypted: Because the file was encrypted, a slipsheet was generated in place of an image. ●Slipsheet - Non-Business Document: Based on the imaging settings, files with this extension receive a slipsheet instead of an image. ●Unsupported File Type: The file to be imaged is not a type supported by the imaging feature. ●Rendered as text: Ringtail attempted to image the file as if it were a text file. Administrators define this behavior in the imaging settings. |
